Vuqira+Xero

Stop copying timesheets into invoices

Your team logs their hours. You approve them the way you always have. Vuqira prices them with your rates and builds the invoice in Xero for you, as a draft, with the timesheet attached. You read it over and send it.

Free for your first ten people. Xero is optional, and you can add it later.

No new accounting system to learn

We did not go hunting for a point of difference. We went looking for the software your accountant already has open.

Invoices go where your books already are
Xero is what most small businesses in Australia and New Zealand run their books on. Invoices raised from Vuqira land in the same place as everything else, so nothing changes at your accountant’s end.
Your tax settings come from Xero
GST, BAS and your chart of accounts live in Xero. Vuqira does not guess at any of it. You choose the revenue account and the tax rate once, from your own Xero settings, and that is the last you think about it.
See which invoices are still unpaid
Once an invoice is in Xero it behaves like any other. It gets sent, the bank feed matches it, and your customer gets reminded. Vuqira reads the status back so you can see what is still unpaid.

How the hours become an invoice

Two things to set up. After that, invoicing is choosing a date range.

01
Connect Xero
Sign in to Xero and pick which company Vuqira can raise invoices in. It takes about a minute. Disconnect whenever you like, and doing it here also removes Vuqira from Connected apps in Xero, so nothing is left behind.
02
Set your rates
One rate per person, plus exceptions where you have agreed something different for a client or a project. If you roster shifts, you set a charge rate per job instead. Either way, once.
03
Approve hours as usual
Your team fills in timesheets or works their shifts, and you approve them. Nothing here changes, and your approval is still the only thing that makes an hour billable.
04
Create the invoice
Choose a period and a customer. Vuqira prices the approved hours and shows you the whole invoice before anything happens. Say yes and it appears in Xero as a draft, with the timesheet attached, ready for you to send.

The questions everyone asks first

Will it email my customers on its own?
No. Invoices arrive in Xero as drafts. Nothing reaches a customer until you approve and send it there yourself.
Could it bill the same hours twice?
No. Every hour Vuqira bills is recorded against the invoice it went on and will not turn up on another one. Void that invoice in Xero and those hours go back to being billable.
What happens to an hour with no rate?
The run stops and tells you exactly which lines, and whose. Work nobody has priced is not free work, so it never gets quietly billed at zero.
Can my customer see what they are paying for?
Yes. The timesheet behind each line is attached to the invoice, so the breakdown travels with it and you stop getting the "what was this for" email.
Do I need anything special in Xero?
A Xero account that can raise invoices. Vuqira is the registered Xero app, so there is nothing for you to build, buy or configure.
What if we do not use Xero?
Everything else still works. Rates, priced periods and the timesheet breakdown are useful on their own. Xero is how the invoice gets sent, not how the hours get counted.

You set the rates. It does the arithmetic.

Set them once. A rate per person, exceptions where a client or a project is different, and a charge rate per job if you roster.
