Let Vuqira's AI Assistant handle it for you.

It only sees what you are allowed to see, and it never changes anything without telling you.

What this video shows

On the Rostering page, the AI Assistant panel is opened and asked "Are there any unfilled shifts this week?". It answers that one shift is unfilled: 24 September, 08:00 to 16:00, a Designer shift raised as sick leave cover. It is then asked "What will this week’s roster cost us?" and answers $3,795, worked out from the scheduled shifts and pay rates, the same figure the page behind it shows. Last, it is asked to show this week’s roster.

Already onxero?

The hours you have already approved become a priced draft invoice in Xero, with the timesheet attached. Nobody retypes anything, and nothing reaches your customer until you send it — it arrives as a draft, every time.

How it works

Three steps. That is the whole thing.

01
Choose how often people submit
Weekly, fortnightly, monthly, whatever suits you. Public holidays are handled for you.
02
Your team fills in their days
A calendar, a timer, or just ask the assistant to do it.
03
You approve what needs approving
Timesheets that pass all the validation checks you set are approved for you. The rest are flagged, with the reason.

Timesheet's stop becoming a hassle

Ask Vuqira's AI assistant to manage your timesheet's for you and reduce your manual effort by more than 90%.

  • Automated follow-up systems
  • Generate custom reports for your organisations specific needs.
What this video shows

An employee’s Timesheets page in calendar view, with one day still to fill in. They open Thursday 20 August, choose the task Homepage redesign, enter 7.5 hours and submit the day. The day changes from Draft to Submitted and the banner at the top changes to "You are up to date".

Approvals take minutes, not an afternoon

Generate validation checks for timesheets on submission which allows you to focus your attention on the handful that need further attention.

  • Batch approvals of timesheets
  • Any timesheets with errors arrive with an error-reason attached for quick decision making
What this video shows

An admin’s Dashboard for the current submission window: one approval pending, one timesheet cleared and ready to approve, one draft, one employee flagged and eleven missing submissions, beside a chart of submitted against expected days. They approve the cleared timesheet, then open Approvals, which lists each person’s expected and submitted days and hours and flags one employee whose days are missing.

Build the week, and let it staff itself

If you roster shifts rather than just record hours, Vuqira plans the week from your opening hours and shift shapes, puts the right people on it, and publishes it for them to accept. Every suggestion says why that person and not the next one.

  • Plan with AI fills the week against availability, rest breaks and weekly hours
  • Approved leave is never rostered over
  • A finished shift starts the timesheet, so the hours only get recorded once
What this video shows

The Rostering dashboard: one shift with nobody on it, 82.5 hours rostered this week costing $3,795 in wages, and who is on shift right now, including one person who has not clocked in. It moves to Roster planning for 21 to 27 September, with the week’s wage cost against a $9,000 budget, the unfilled shift and how many staff have accepted, and then to the list of every shift that week.

Approved hours become an invoice

Vuqira connects to Xero, so the hours you have already approved go straight onto an invoice without anyone typing them out again. It arrives in Xero as a draft — nothing reaches your customer until you send it.

  • Set your rates once and every invoice uses them
  • The timesheet behind each line is attached, so your client can check it
  • The same hours can never go on a second invoice
Never sends to your customer
It arrives in Xero as a draft. You send it.
Never bills the same hours twice
Invoiced hours are marked, and cannot be picked up again.
Never invents a number
Every line is priced from your rate cards at the moment you run it.

Vuqira is built for work that is worth money to a client — where somebody has to price the hours, invoice them, and know what is still unbilled. That is the whole product, and it is why the assistant and the Xero handoff are on every plan rather than on the expensive one. Deputy and Employment Hero are good tools built for different jobs: Deputy for rostering and paying staff, Employment Hero for HR, onboarding and payroll in one place. Prices are each vendor's published Australian list price, checked September 2026, and are stated as a starting point rather than a quote. Check theirs before you decide.
